JOB DESCRIPTION
Advancement Fund Development and Executive Associate
February 1, 2023

Part Time Administrative Position. 
30 Hours Per Week. $32,500 Annual Salary / $625 Per Week.

Required hours are 11:30 to 4:30 – Monday through Friday, must be available with the balance of hours totaling 30 hours as needed for evenings and weekend undertaking requiring the presence of the Associate.

The Advancement Fund Development and Executive Associate is the primary administrative support for the Irish Cultural Center Inc. of Western New England’s (ICCWNE) President and Board of Directors (BOD) as related to advancement matters.

The position is responsible for supporting the President and Advancement Committee of the Board with all aspects of fundraising, with emphasis on Patron Growth and the upcoming capital campaign.

This includes assisting with fundraising campaign outreach and communication plans and managing the reporting mechanisms to compile and track donor data and gifts. The Associate is also responsible for organizing and preparing materials for the Board of Directors and the Advancement Committee of the Board including capital campaign meetings and support, including planned future activities, actual funding reports and alignment to weekly and monthly goals and objectives.

Specific Responsibilities Include:
• Work directly with the President, Advancement Committee members to cultivate and oversee financial advancement activities to establish long-term financial stability and growth  
• Build and interact with a targeted portfolio of prospective donors and Patrons.
• Research current and prospective donors and grantors to help seek further contributions from such individuals/organizations. This involves cultivating potential donors interested in preserving and promoting Irish heritage utilizing donor research tools, preparing profiles.
• Conduct cultivation interactions by methods of; face-to-face interactions, phone, online or written communication with patrons or potential donors on a regular as needed basis.
• Prepare personally tailored proposals for specific requests to individual donors in face-to-face meetings and tours of the Irish Cultural Center.
• Assist the President and Advancement Committee members in preparing fundraising content for newsletters or other public relations/social media.
• Maintain the donation tracking database for patrons, Business Sponsors, and major Donors in the Advancement Office Files and in Network for Good.
• Compile data for grant proposals. Assist the Grants Writer in preparing applications and follow up periodically on completing required reports.
• Perform scheduled and ad hoc queries on requested made by Patrons and interested parties.
• Prepare and send gift and pledge acknowledgements; assist the President and BOD in determining creative ways to thank and further involve donors.
• Complete other responsibilities, as directed, to assist in all aspects of fundraising, relationship development and organizational promotion.
• Work with and build effective working relationships with board members, volunteers, the ICC Consultants and in house staff involved with Events, Restaurant and Finance.

Position Requirements:
• The ability to take initiative, collaborate, be flexible, manage multiple projects and function independently.
• Demonstrate a proficiency with Microsoft Word, Excel, and PowerPoint.
• Develop an expertise in the use of fundraising software Network for Good presently in use at the ICCWNE.
• Maintain a donation tracking database for Patrons, Business Sponsors, and Major Donors in the Advancement Office Files and in Network for Good.
• Excellent organizational skills, commitment to accuracy and attention to detail.
• Prior experience in development or scheduling for a senior professional is a plus.
• Strong interpersonal and customer service skills.
• Ability to occasionally work evenings and weekends.
• Dress is Business Casual.

Performance Reviews:
• A performance self-evaluation which will also include a section on recommendations for future goals and a more effective operation of the functions and events department will be required two weeks before Performance review.  
• This position will be informally reviewed at a 90-day point and formally reviewed at the 6-month point during the first year, and annually every six months after that. The six-month annual reviews will be held on April 1st and September 1st the review will be conducted by the Executive and Advancement Committees.
